System Setup

Once you have installed Visual NF-One and entered your User ID, the next step is to configure Visual NF-One to your computer.

The following options are available in Setup:

North Farm Setup

North Farm Setup allows you to define your account with North Farm, contact information and processing defaults for your account.

There are four sections:  Address, Delivery and Warnings, Surcharges and Taxes, and Invoice and Other Options.  A few items, North Farm #, Phone and Group Name, always appear; regardless of which tab is selected.

If you are upgrading from the DOS version of NF-One, please skip to Changes to North Farm Setup and review your settings.

The first time you start Visual NF-One you will see a message that indicates that you need to set up your account, click on OK.

Enter your North Farm number, name and your phone number.

Address
The Address tab displays the following information:

Enter your information in Contact, Address, City, State and Zip code.

The second line under Street address is provided should you want to enter an apartment # or any other address information.

Data Sharing

Y
ou can choose whether you want to share the E-mail addresses of your members with North Farm Cooperative.  This option allows us to collect your member’s E-mail addresses for the purpose of sending them periodic E-mails, such as newsletters and promotional information.

Checking this box will not necessarily share all of your members' E-mail addresses.  You have the ability to specify which member's addresses will be shared when you set up the members.  If you don't check this box, none of the E-mail addresses will be shared, regardless of whether you checked the Data Sharing box in the individual members' record.

Delivery and Warnings

The Delivery and Warnings tab displays the following information:

Delivery Information

Order Date is a system maintained field.  Do not attempt to change.  When you post your order to North Farm, Visual NF-One fills this field with the date from your pc's clock.  This date is used when you download your invoice.

Delivery On is the date of your next delivery.  It also determines which sale prices you see when entering your member's orders.

Week Cycle represents the frequency of your orders.  For example, if you order once a month, the week cycle is 4.  If you order every other month, the week cycle is 8.

Warning Levels

By setting warning levels you will be notified, when you are entering an order, if you have exceeded the value you set here.

Large # of Cases displays a warning during order entry if you exceed the number of cases set here.  We recommend you set this value to 3.

Large Dollar Amount displays a warning during order entry if you order such quantities that the dollar amount specified here is exceeded.  We recommend you set this value to 50.

Surcharges and Taxes
The Surcharges and Taxes tab is not used.  You don't need to fill out anything on this tab.

Invoice and Other Options
The invoice and Other Options tab displays the following information.

Important!
This section enables you to select which North Farm charges you want to appear on your individual Member invoices.  If you want the charge (or credit) to appear check the box.

If the charge does not exist on the North Farm invoice and the box is checked no charge will appear on the individual invoice.

Please remember, if you do not have a box checked and that charge is on the North Farm invoice it will not appear on any Members' invoices and you will not be collecting that amount from your Members.

You can choose to have, or not have, the following North Farm charges on your Member invoices:

  • Volume Adjustment
  • Equity Surcharge
  • Freight Charges

Report sort method

Determines how reports are sorted.  Having this field set to Invoice will sort the report based on how it appears on the North Farm invoice.  Having it set to Item will sort the report numerically by item number.

Member sort method

Determines how members are sorted.  This affects the order in which they appear in both Members' Setup under the Setup menu and the Select member field when you are entering orders.

Having this field set to Account will sort your members by their Member ID.  Having it set to Name will sort your members alphabetically by the Member name.  If you wish to have your members sorted alphabetically by their last name, you need to type the Member name in the following format:

Last Name, First Name

Finishing North Farm Setup

When you have entered all the information click on the Save button.  Click on Exit.  If you are setting your account up for the first time, you will see the following prompt:

Click on Yes to complete North Farm Setup

Changes to North Farm Setup

To modify any of the information about your North Farm account, click on the Setup menu and then North Farm Setup.  Then click on Edit and make the changes.  To save the changes, click on Save.  To exit edit mode without saving the changes, click on Clear.

When you have finished, click on Exit to return to the Visual NF-One desktop.

Member's Setup

The Member's Setup screen allows you to maintain basic data for each member of your account.  This screen also provides you the ability to enter some processing options.

There are three sections: Address, Billing Options and Notes.  A few items, Member ID, Member name and Second name, always appear, regardless of which tab is selected.

To add a new member, click on Add.

Address

The Address tab displays the following information:

You can enter as much information about a member as you wish.  Member name and Home phone number are displayed on a number of reports.  For that reason, you should enter at least those pieces of information.

Role in Club
Not currently being used.

E-mail address
Allows you to keep track of your member's e-mail addresses.

Options

The Options tab displays the following information:

Member Surcharges

This allows you to assess additional charges.  You can assess a percentage, dollar amount or a combination of the two.  You can vary this charge from member to member.

The Use Club Default button fills in the Percent and Dollars fields with the values you set in North Farm Setup in the Surcharges and Taxes tab.

Data Sharing

If a member wishes to receive periodic e-mail, such as newsletters or promotional materials, from North Farm check this box.  You must have an E-mail address in the Address section.  The e-mail address will be sent to North Farm and the member will be added to our mailing list.

You may choose not to check the box if you wish to keep track of your member's e-mail addresses but don't want to share them with North Farm.

Anniversary may be used to keep track of when a member joined your account.

Notes

The Notes tab displays the following information:

This screen gives you a place to write any notes about this member.

When you have completed a member's setup, click on Save.  To add another member, click on Add and repeat the process until you have entered all of your members.

Finishing Member's Setup
When you have finished, click on Exit to return to the Visual NF-One desktop.

Changes to Member's Setup

To move from member to member, press the Page Down key on your keyboard to go to the next Member record.  The Page Up key will move you to the previous Member record.

To modify any of the information about a Member, click on Edit and make the changes.  When you go into edit mode, the icons on the left side of the window will change.  To save the changes, click on Save.  To exit edit mode without saving the changes, click on Clear.

Computer Configuration

Computer Configuration allows you to set up your computer to work with Visual NF-One.

There are two sections: System Options and Communications Setup.

To change any of the settings, click on Edit.

When you have finished making changes, click on Save to exit and save the changes or Clear to exit without saving the changes.

System Options

The System Options tab displays the following information:

North Farm BBS Phone
Do not change unless directed to do so by North Farm Technical Support.

Back-up Path

You can set the location that you want to back-up your account data to.  For example, if you want to back-up the files to a floppy disk you would set the Back-up Path to: A:\, where A is the drive letter of your floppy drive.

Require Login to Access VNF-One

If checked you will be prompted to enter a User ID and Password each time you start Visual NF-One.  If unchecked, you will not be required to log in to use the program.

Default Print Destination

The Prompt for Destination check box determines whether or not you see the following dialog box each time you choose a menu option that will print a report:

You can set the default destination to either Screen Preview or Printer.

For example, if you leave the Prompt for Destination box unchecked and set the default destination to Printer, reports will be printed automatically and you will not see the box shown above.

Communications Setup

The Communications Setup tab displays the following information:

At this time there are only three items that you may need to change in the Communications Setup.  They are:

Comm Port#
This should be set to the communications port your modem is using.

Port Communications Speed
Recommended speeds are either 19200 or 38400.  Please use only these values.

Phone System Type
The default is Tone.  If you have Pulse dialing in your area, please change this to Pulse.

When you have finished, click on Exit to return to the Visual NF-One desktop.

User Setup and Password
Option not currently available

User Setup and Password allows you to add, delete and modify User ID's and passwords.  You can scroll from user to user by pressing the Page Up or Page Down keys.

To add a new User ID, click on Add.

To modify any of the information about a User ID, click on Edit and make the changes.  When you go into edit mode, the icons on the left side of the window will change.  To save the changes, click on Save.  To exit edit mode without saving the changes, click on Clear.

You can click on Seek to search for a User ID.

When you have finished, click on Exit to return to the Visual NF-One desktop.

Exiting Visual NF-One

To exit Visual NF-One, click on Quit on the menu bar.

Please use this option to quit the program.  Do not click on the close button in the upper-right section of the window.
