Delivery

Once you've posted your order to North Farm you're just about ready to move on to the next step.  Once the order has been invoiced, an electronic copy of the invoice will be available for you to download.  The invoice is available no later than your delivery day and more than likely a day or two before.  A good rule-of-thumb is that if the truck has left North Farm, the invoice is ready.

The following options are available in Delivery:

Get North Farm Invoice

This is the first step in generating your individual members' invoices.  Get North Farm Invoice connects your computer, via a modem connection, to North Farm and retrieves your invoice.

Reconcile Member Orders

This option is very similar in design to Adjust Order by Item in the Ordering menu.  It allows you to make adjustments to how Visual NF-One allocates the products shipped to you, in an instance where we shipped less than you ordered.

Figure 4.2  Reconcile Member Orders

To make changes, type the item number in the Select Item field and press Enter.  You will see all the members who ordered this product and can make changes to the quantities.

This step is only necessary should you need to change how products are allocated.

Order to Invoice Report

This report shows the entire order, sorted by the method you choose in North Farm Setup.  It allows you to reconcile the order to the North Farm invoice.  The following detail is provided:

  • Item number
  • Brand/description/pack size
  • Ordered By
  • Quantity
  • Pack - Units, Cases or Lbs
  • Price
  • Total
  • Message - any special information about the product.

Create/Edit Invoice Message

Want to put a message on the individual invoices letting the members know when their orders have to be in for the next delivery?  This option allows you to put a message on all the members' invoices.

Space is provided for you to type whatever type of message you want to appear on the individual members' invoices.

Print Member Invoices

Here's what it's all about:  printing your individual members' invoices.  After you have completed all the necessary steps in the Delivery Menu you can print your member's individual invoices.

Print Invoice Summary

This report provides a summary of all the members' invoices.

Print Delivery Labels

This option allows you to print individual labels for all items ordered.  Each label has details about who ordered the item, a description of the product, pack size, quantity ordered, etc.

The size of the labels is 1" x 2 5/8" (Avery Label # for Laser printers is 5160, the # for Inkjet printers is 8160).

Close Order Cycle

This is the final step in the order cycle and allows you to post your invoice and archive data.

To close the order cycle, type CLOSE where it says "Verify by Typing 'CLOSE'" and press the Enter key on your keyboard.

Then click on the Yes button to close the order cycle.

The following actions are performed when you choose this option:

  • Current order data is copied to a history file, which allows you to maintain a record of prior activity.

  • Current order purchase totals are calculated for each member and year-to-date purchases are updated.

  • Calculates your next anticipated delivery date, based on the current delivery date and your order cycle.

  • Current transaction files are reset for your next order cycle.

Important! This step must be performed before you place your next order and prior to your updating product data.
